WarsawLimos.pl – Terms & Conditions of your Warsaw limousine service


I. GENERAL PROVISIONS

The website warsawlimos.pl is operated by the entity hereinafter referred to as the Service Provider.

The Service Provider reserves the right to amend these Terms & Conditions at any time without prior notification. All modifications take effect upon being published on the warsawlimos.pl website.

Any individual agreement deviating from these Terms & Conditions must be made in writing and signed by both parties. Other forms of communication, such as emails or text messages, will not be considered legally binding deviations.

Any person browsing the warsawlimos.pl website, using its services, or interacting with it in any way—directly or indirectly—is deemed a User and thereby acknowledges and accepts these Terms & Conditions along with the accompanying Privacy Policy, both available on the website.


II. CONTRACT FORMATION & PAYMENTS

Contracts for chauffeured limousine services with warsawlimos.pl may be entered into via remote communication, particularly through the online reservation form, or in person at authorized service locations.

A contract is deemed concluded once the User receives a formal Booking Confirmation via email or SMS, following successful preauthorization on the User’s credit or debit card.

All inquiries made to warsawlimos.pl are treated either as Booking Requests or simple quotations, depending on the context. It is the User’s responsibility to provide accurate and complete information during the booking process.

After receiving a Booking Request via the reservation form, an automated message confirming receipt will be sent. Please note: this is not a Booking Confirmation. A separate confirmation email or SMS constitutes formal contract approval.

Unless prepaid in full, preauthorization on a valid credit or debit card is mandatory. Accepted payment methods include card payment, bank transfer, and cash. Charges may also apply for no-shows, late cancellations, or requested changes that impact the service (e.g., tolls, extra stops, detours, extended waiting time). Any changes must be communicated in advance via email.

The service price includes a bilingual chauffeur, fuel, and insurance, but excludes VAT (8%), parking, tolls, entry tickets, accommodation and meals for the chauffeur outside Warsaw and Cracow. A 20% surcharge applies during night hours (10:00 PM – 6:00 AM) and public holidays.

The applicable service price is based on the rates listed under the “Limousines” section of the website at the time the Booking Request is submitted.

warsawlimos.pl endeavors to provide punctual service, but shall not be held liable for delays caused by factors beyond its control (e.g., weather, traffic accidents, strikes, road closures, or actions by authorities).


III. BOOKING FORM & PRICING

The reservation form estimates service costs based on Warsaw as the vehicle depot. However, when practical, a vehicle may be dispatched from a different location, such as Cracow, resulting in a lower total price. In such cases, warsawlimos.pl will preauthorize the reduced amount.

If the form displays a price that deviates from the current pricing and is too low due to system error or update delays, warsawlimos.pl will not proceed with the booking until the User explicitly accepts the corrected price.


IV. SERVICE TYPES: TRANSFER & HOURLY HIRE

Users may choose between a one-way transfer or hourly hire.

  • Transfers are quoted based on the pickup and destination addresses. Any modifications (e.g., extra stops, route changes, or additional waiting time) may incur additional charges.

  • Free waiting time:

    • Airport pickups: 60 minutes

    • Other locations: 15 minutes

  • Transfers must start and end within the same municipal area.

  • Hourly hire starts from the agreed pickup time and must end in the same municipal area.

Please note that wedding services are priced individually and not subject to the general pricing structure.


V. VEHICLES & UPGRADES

Vehicle images are representative only. Actual vehicle features may vary slightly by region (e.g., tire models, interior color).

warsawlimos.pl reserves the right to upgrade the booked vehicle to a higher segment at no extra cost, subject to availability.

If the User does not specify seating requirements (e.g., 5-, 6-, or 7-seat MPV or 17- vs. 19-seat minibus), warsawlimos.pl may allocate any available version within the same or higher capacity.


VI. PASSENGERS, LUGGAGE & BEHAVIOR

The maximum number of passengers is stated on the website under each vehicle listing and must not be exceeded. The luggage allowance is indicative and may vary depending on the type and size of bags. Drivers may decline to load luggage that could present safety risks or cause damage.

One piece of luggage is defined as a medium-sized suitcase. Items that exceed standard size or pose risk may be refused, though warsawlimos.pl will make reasonable efforts to offer alternatives, subject to surcharges.

If children are to be transported, the User must notify the service in advance, specifying their age and possibly height/weight to ensure appropriate child seating.

Transporting animals must be agreed upon in advance. Unconfirmed animals may be refused.

All passengers must follow local laws and act respectfully. Noncompliance, especially behavior that risks safety, may result in immediate service termination, without refund.

Smoking, use of illegal substances, or consumption of items likely to stain or damage the vehicle is strictly prohibited. Violations may result in cleaning fees, business loss compensation, or denial of future service.

If warsawlimos.pl refuses service due to incomplete or misleading booking details (e.g., undeclared luggage, animals, or children), the User remains responsible for full payment.


VII. CANCELLATION, NO-SHOWS & MODIFICATIONS

  • Cancellations are free of charge if made at least 24 hours before the scheduled start time. Cancellations within 24 hours are fully chargeable.

  • Valid cancellations must be sent by email to: info@warsawlimos.pl

  • Free cancellation extensions may be granted but must be confirmed in writing beforehand.

A no-show occurs when the User or guest fails to appear within:

  • 30 minutes at regular pickup locations

  • 60 minutes at airports

For hourly hire, a no-show applies if the guest fails to appear during the paid time slot.

All no-shows are charged in full, and the User forfeits service rights.

Modifications during the service are possible only with approval from a company representative. Changes such as longer duration or route extension will be recalculated based on current pricing.

If an hourly hire exceeds its booked time by more than 15 minutes, an additional full hour is charged.

Unused time or shortened service does not qualify for a price reduction.

Transfers include a 15-minute grace period (60 minutes for monitored airport pickups). Charges apply for waiting beyond that period.

Each hour of hourly hire includes 25 kilometers of travel. This does not accumulate across hours. Exceeding this limit may incur additional charges.


VIII. FINAL PROVISIONS

These Terms & Conditions represent the full agreement between warsawlimos.pl and the User unless otherwise agreed in writing prior to booking confirmation.

Changes may be made to these Terms & Conditions, with updates posted on the website or communicated via email. If modifications occur after a Booking Request but before the Booking Confirmation, confirmation will be withheld until the User explicitly agrees to the updated terms.

All agreements are governed by the laws of Poland. Legal disputes fall under the jurisdiction of the court corresponding to warsawlimos.pl’s registered business location.

If any provision of these Terms is deemed invalid, the remaining provisions shall remain in force. Both parties will seek to replace any invalid clause with one that most closely reflects the original intent.
